Administration Intern

STEEL is looking for an enthusiastic, positive, friendly and energetic Administration intern to work with, and support, the STEEL Management Team.

Your role will involve supporting management with the smooth running of operational systems and procedures.

Activities will include:

  • Managing invoicing of monthly retainers and support jobs
  • Invoicing on a job by job basis
  • Keeping a careful eye on monthly forecast and aiming to meet financial targets
  • Data entry of accounts payable/receivable
  • Ensuring expenses and purchase orders are billed to the correct job
  • Maintaining monthly spreadsheet of outgoing invoices against hourly rates
  • Managing reception (including covering lunch breaks and times when the receptionist is setting up meetings, and arranging temp cover)
  • Running reports for FD like monthly accounts summaries for board meetings
  • Making sure subscriptions and memberships are all paid and up to date
  • Planning staff get togethers / Christmas party etc
  • Booking train tickets, accommodation, coordinating diaries, booking people in for conferences and courses, errands like banking and buying staff gifts or prizes
  • Supervising the receptionist on duties such as:
    - Ordering stationary
    - Ordering weekly shopping (milk etc)
    - Coordinating meetings/meeting room set up
    - Filing/maintaining job bags and summaries

The ideal candidate will have knowledge of basic administrative procedures and systems, have competent IT skills (including Word, Excel and Outlook), and will be reliable, punctual and well presented.

We are seeking a candidate to work full time for a 3-6 month period starting September 2010. We are willing to reimburse London based travel costs.
